We are seeking an experienced Executive Administrative Assistant to support the Assistant Administrative Services Director (AASD) at the New York State Department of Health, Rochester Field Office.

Client Facility: NYSDOH, Administration, 335 East Main Street, Rochester, NY 14604

Work Shift: 8:30am – 4:45pm

Assignment Duration: 09/03/2018 until 09/02/2020

Scope of Work: This position will support the Asst Admin Services Director. Must provide high-level administrative support by preparing reports and handling information requests in addition to performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. May also train and supervise lower-level clerical staff. May act as immediate supervisor’s personal representative in dealing with public and in routine contacts with other State executives; perform special assignments, studies and routine administrative functions as specifically directed; screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response. The assistant will often work side-by-side with the AASD while performing many of these tasks, absorbing more responsibility for the duties as the responsibilities are learned.  The assistant should expect task interruptions in order to assist the AASD with ongoing duties as well as with tasks that present themselves throughout the day. 

Preferred Qualifications: Proficiency in Microsoft Outlook, Access, Word, Excel.
Knowledge of office administration and management; proper grammar, punctuation and spelling; business communications and ability to take notes is necessary.
