We are looking for an Administrative Assistant for a contract position at the New York State Office of Mental Health in Albany, NY.

Position Title: Administrative Assistant

Location: New York State Office of Mental Health (NYSOMH) OPME 44 Holland Ave 6th Floor Albany, NY 12229.

Assignment Duration: 01/14/2019 to 01/14/2020

Position Description: This position is located in the NYS Office of Mental Health Surveys & Surveillance Unit. This Unit is responsible for data collection, data entry by Web, keyboard or scanning, quality assurance and tracking of survey projects, analysis and report generation.

Location and hours

  • NYS Office of Mental Health, Surveys & Surveillance Unit, 44 Holland Avenue, Albany, NY
  • This is a 37.5 hour per week position, 9 am – 5 pm, M-F.

Job duties

  • Prepare survey packages for mailing to programs
  • Track receipt of completed surveys
  • Review data for quality and enter data into computer applications
  • Provide customer support via phone, email, and the Help Center computer application
  • Contact providers and Field Offices about missing or inaccurate data
  • Review providers’ applications for exemptions from survey reporting, contact programs to obtain additional
  • Conduct tests of computer applications and summarize findings
  • Complete activities in a timely manner with minimal errors
  • Handle sensitive data with the ability to strictly follow HIPAA (Health Insurance Portability and Accountability Act) procedures
  • Assist in maintaining efficient systems for data cleansing and data entry by utilizing various internal applications

Qualifications

  • At minimum, a 2 year degree, but 4 year degree is preferred.
  • Accurate data entry
  • Exhibit self-confidence obtaining information over the phone
  • Organized and attentive to detail
  • Ability to communicate clearly and concisely, both verbally and in writing
  • Ability to work in a team environment as well as independently on multiple tasks and deadlines
  • Experience with data collection testing computer applications helpful
  • Experience with document production using MS Office products, such as Excel and Access
