We are seeking an experienced Administrative Assistant for a contract position.

Available Position: Administrative Assistant

Client Facility: NYSDOH, OPCHSM, Bureau of EMS & Trauma, 875 Central Ave., Albany, NY 12206

Work Shift: Two full time positions. Monday - Friday, 8:45-4:45 PM, 7.5 hrs (with a 30 minute lunch break).

Assignment Duration: 10/01/2018 to 09/30/2020

Scope of Work:
The New York State Department of Health, Office of Primary Care and Health Systems Management Bureau of Emergency Medical Services and Trauma Systems is seeking to fill two administrative assistant positions in the Albany, New York office (875 Central Avenue). 
 
The successful candidate will assist with administrative functions related to the Bureau of EMS.  This will include:
  • organizing electronic and paper files;
  • scanning/photocopying;
  • answer, triage and disseminate incoming phone calls from the State Call Center;
  • process incoming and outgoing USPS and internal DOH mail;
  • operation of folding machine and mail processing machine;
  • performing data entry tasks and analyses of data in BEMS computer system, among other systems and databases;
  • reviewing and process end of certification course paperwork for 20,000+ providers annually;
  • packing and shipping of examination administration materials (boxes) to 200+ sites monthly;
  • formatting documents in Microsoft Word, Access, and Excel; and
  • scheduling meetings.
  • The successful candidate will also be periodically be asked to cover the front desk for greeting all visitors to the building as well as intake and distribute all building mailings.
  • The successful candidate should be dependable, highly-motivated, detail-oriented, and comfortable working autonomously.   

Qualifications: 
Minimum qualifications include excellent working knowledge of Microsoft Office, specifically Word, Access and Excel; the ability to work independently, the ability to work on a team and handle multiple, shifting priorities; good organizational skills; comfort with speaking on the phone, and familiarity working in electronic databases.
Preferred qualifications include familiarity with and knowledge of the EMS system in NYS, familiarity and knowledge of State Call Center operations, and prior experience working in a New York State Department of Health environment.
