Available Position:  Secretary III support for the U.S. Attorney for the Western District of Arkansas

Work Hours: 40 hours per week.  The normal working hours are between 8:30 a.m. and 5:00 p.m., Monday through Friday. Working hours outside normal hours must have the written advance approval of the Contracting Officer (CO).

Work Location: The contract Secretary III will be primarily at the U.S. Attorney’s Headquarters Office, Civil Division, 414 Parker Avenue, Fort Smith, AR 72901. Travel within the district may be required.

Scope of Work: 
The U.S. Attorney’s Office, Western District of Arkansas has a requirement for a fulltime Secretary III to the United States Attorney (USA).
The Secretary III speaks for the United States Attorney, and in this role, fully and accurately reflects supervisory philosophies, policies, goals, and management objectives.
Represents the United States Attorney when addressing leading figures within the government, business, law enforcement community, members of the media, and others.
Presents the views of the United States Attorney in correspondence and other communications with agency managers and program officials.
The Secretary III is responsible for overseeing the day-to-day activities of the immediate office of the United States Attorney (USA).
Exercises control over the USA’s calendar for all appointments, meetings, engagements, and conferences for commitments of time.
Establishes priorities and arranges, shifts, or cancels appointments and meetings.
Accepts or declines invitations to meetings, conferences, speaking engagements, and news media appearances based on the USA’s scheduled activities and special interests.
Reviews all outgoing correspondence prepared for the USA’s signature (i.e. action documents, case files, legal documents, and reports).
Edits other written material for adherence with the USA’s established policies, writing style, and previously expressed views, as well as for conformity with departmental and internal policies and correspondence procedures. Advises writer of needed changes to written material.
Screens telephone calls and visitors desiring to speak with the USA.
Exercises independent judgment and discretion to determine the nature, purpose, and urgency of the matter and if it requires interrupting the USA. Determines which calls must be referred to the USA and which can be resolved independently or by a more appropriate staff member.
Maintains a log of visitors and callers, their purpose, and independently follows up or reminds staff of necessary action items as appropriate.
Reads, screens, and controls incoming mail. Independently deals with those matters addressed to the USA that do not require his personal attention by referring such to appropriate staff members.
Composes a variety of written material. Such material varies in subject and format, but typically requires drafting appropriate correspondence that reflects the USA’s policies and special interests.
Develops a variety of recurring reports and documents which involve obtaining information from staff, files, or other sources, and formatting the needed information properly in narrative, table, or graph formats.
Makes travel arrangements for the USA. Secures flights and accommodations and maintains contact while the USA is in travel status and informs him of important developments.
Arranges meetings for the USA. This includes preparing agenda, notifying participants, etc. Develops and assembles background information as required. Attends meetings and conferences to record, summarize, and distribute minutes. Checks to ensure that commitments made at meetings are kept and keeps the USA informed.

Required Qualifications:
The full-time Executive Secretary is required to type at least 40 words per minute.
High school diploma required
At least 3 years experience in executive secretarial, clerical, and administrative support.
Must have valid Arkansas driver’s license and dependable vehicle.
U.S. Citizenship.
Proficient in Microsoft Office software programs (i.e., Word, PowerPoint, Excel, and Outlook).
